CrewPilot is an HR, attendance, leave and payroll app made by SEO Lands (seolands.com). A company signs up and adds its employees. The company decides what is entered about its employees; CrewPilot stores and processes it to run the service for that company.

1. Data we collect

• Account: name, email address, a securely hashed password (never the password itself), role and company.
• Employee details entered by the company or the employee: employee code, phone number, address, date of birth, gender, department, designation, date of joining, manager, PAN, UAN, bank name, bank account and IFSC (for salary transfer sheets).
• Attendance: punch-in and punch-out times and, when you punch from the app, your device location (GPS) at that moment, used only to check that you are inside your office area. Location is not tracked in the background.
• Leave and work-from-home requests, holidays and approvals.
• Payroll: salary structure, payroll runs, deductions (PF, ESI, PT, TDS) and payslips.
• Company data: company name, address, logo, offices and settings.
• Technical data: a login cookie, and IP address for security (limits on repeated wrong passwords). Our hosting provider may keep short server logs.

2. How we use it

• To run attendance, leave, payroll and payslips for your company and show each person what their role allows.
• To send emails you or your company trigger: invitations, leave decisions and payslips.
• To keep the service secure and working.

We do not sell your data, do not show ads and do not use third-party analytics or tracking SDKs.

3. Who can see it

Data stays inside your company workspace. What a person can see depends on their role (Owner, Admin, HR, Manager, Employee) and the permissions the company gives. Salaries are visible only to people with payroll access.

4. Service providers

Data is stored on our servers and database providers (for example Vercel and Neon) and emails are sent through an email provider, only to provide the service. All traffic uses HTTPS encryption.

5. Retention and deletion

Data stays while the company account exists. You can delete your account in the app under Profile > Delete account (your password is required), or follow the steps on the account deletion page.

• If the owner deletes the account, the company is closed at once and kept for 15 days so the owner can restore it; after 15 days all of its data is erased automatically and permanently.
• If an employee deletes their account, their login is removed. The employer keeps the employee record (details, attendance, leave and payroll) as part of its HR records; the employee can ask the employer to remove it.

6. Children

CrewPilot is a workplace app for adults and is not meant for children.

7. Changes

If this policy changes, the new version will be posted on this page with a new date.
